Should you request a username for the website, we will ask for information about you. This may include your name and email address. The request for a username is sent by gmail to the Specialisterne NI Website Administrators, who are Specialisterne NI staff, who will contact you to ask what your interest is in Specialisterne NI.

If given a username, you will be able to create a CV on the website. In doing so you may record data may which may include name, email address, health related, and details of participating on a Specialisterne NI programme. You may have the option of sending your CV to employers advertising on the website and of storing additional information regarding your job search such as jobs applied to. This CV and information stored by you on your user is viewable by the Specialisterne NI Website Administrators, who are Specialisterne NI staff.

You may have the option of taking part in a user forum may record data may which may include name, health related, and details of participating on a Specialisterne NI programme. We encourage you not to use your name on a website forum which means that information is not personally identifiable. In the course of taking part, other forum members may be able to identify you according to the information you share.

A user name, CV created by a user, and web forum entries, can be deleted upon your request at any time.

If you request an employer profile you will be able to post details of your company on the website. This information may include company background, contact email, and jobs currently available. Participants will be able to apply to jobs advertised directly through the website.

An employer profile can be deleted at the employer’s request at any time.

Using your information and reasons for collecting

We use your personal data and Special Personal Data in the following ways:

Specialisterne NI may engage a technical support provider to ensure continued security of the website. This will be done in line with our Data Protection Policy and Procedures which will include a Data Processor agreement.

Data Retention

We will retain your personal data for as long as necessary to fulfil the purposes we collected it for. Our retention policy details the periods of retention for the different types of personal data.  Information collected related to usernames and forum participation will be retained for 3 years.

We are only allowed to keep your information if we need it for one of the reasons we describe above.

Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

The Specialisterne NI website was developed by AllState NI in 2015. Prior to release a review of the site was carried out by a security consultant. The Specialisterne NI website has the following security measures:

  • Security Certificate. A standard SSL Certificate is installed on the site.  This offers 256-bit encryption
  • Personally Identifiable Information (PII). This is information that can be used, either by itself or with other information, to identify an individual in context.  Steps have been taken to ensure that no PII data is stored on the site.
  • Unsuccessful Logins. To prevent against ‘Brute Force’ attacks, the number of unsuccessful login attempts to the site are limited.
  • Forum Page. To prevent against possible ‘SQL Injection’ or ‘Cross Site Scripting’ attacks the ‘unfiltered_html’ option is disabled for all users
  • Wordfence security. A WordPress security plugin for the site.  Main features include code scans, login security and malicious user blocking

 Your Rights

  3. The right to rectification – you can ask that we correct any personal data found inaccurate or out of date.

Specialisterne NI use a CRM System to store personal data of participants and enquiries regarding Specialisterne NI service. This may include special category data e.g. related to Autism/Aspergers and/or wellbeing. The CRM system is password protected and accessed by the Specialisterne NI team.

 

Specialisterne NI use a file hosting service to store participant records which includes special category data related to the participant. This is password protected and is accessed by the Specialisterne NI Project team.

 

For participants taking part in a funded programme, please request the Specialisterne NI Privacy Policy for the programme, as each programme may require sharing of data with the funder which is done in line with our Data Protection Policy and Procedures.
